SharePoint vs File Server: The Business Case Every Leader Should Understand

Why It’s Time to Rethink Your File Server — and What SharePoint Offers Instead

Dear reader

For years, business have used file servers, storing everything from financial reports to contracts and templates. And for the longest time, that was enough. The file server was kept on a PC with staff adding their documents in allocated files – but over time, the number of files keeps growing and growing... eventually you have terabytes of data stored. This makes accessing files slower and slower and it makes backups almost impossible. Accessing the file server from a remote location becomes increasingly frustrating.

At the same time, the way we work has changed: teams are distributed and work happens everywhere. Cybersecurity threats have evolved faster than most businesses can keep up with, and clients expect agility and fast responses. Collaboration isn’t a “nice to have” anymore; it’s the engine of productivity.

The old file server just isn’t built for the modern demands placed on it, so, many businesses are turning to SharePoint, Microsoft’s modern cloud-based platform for storing, organising, and collaborating on documents. But let’s be clear upfront: SharePoint is powerful, but it’s not magic. It needs planning, attention, and structure to work effectively. When done right though, it becomes a game changer.

Your Staff Don’t Work Like They Used To — Your Files Shouldn’t Either

Most businesses have embraced hybrid work, so you already know the pain points of a traditional file server. VPNs are slow. Opening documents remotely is frustrating. And if the server goes down, no-one has access, not to mention challenges of who is working on which version and which is the final, final, FINAL version? File servers allow duplication because they weren’t built for modern collaboration.

SharePoint fixes this by design. Your team can access documents securely from anywhere — the office, the home desk, the airport lounge — on any device. No clunky connections, no “drive mapping” issues, no calling IT because the VPN refused to cooperate.

And — multiple people can work on the same document at the same time. Changes are tracked automatically. Version conflicts disappear. And when collaboration is easier, communication improves naturally alongside it. In short: SharePoint supports how people actually work today.

Security Has Changed — and SharePoint Is Built for Today’s Threats

Cybersecurity threats are increasing, and SMEs are as much a target as large companies. File servers, unfortunately, are among the easiest systems for attackers to exploit.

SharePoint brings enterprise-level protection, surpassing what most businesses can achieve on their own.  It has multi-factor authentication, automatic version history and recovery, built-in ransomware detection, global redundancy and back up all along with detailed audit trails for compliance.

Instead of relying solely on your internal infrastructure, now you’re leveraging Microsoft’s global security infrastructure — which is a significant advantage.

This isn’t just an upgrade — it’s risk reduction.

However… SharePoint Isn’t a “Drag and Drop” Replacement

This is where it’s easy for things to go wrong. SharePoint, like any strategic business system, needs planning.

If you move everything across without structure, you’ll simply recreate the same chaos in a new location. Bad folder structures, outdated permissions, and duplicate files don’t magically sort themselves out in the cloud.

Du Pont can assist you to ensure a successful SharePoint implementation as follows:

  • Information architecture — designing sites, libraries, and permissions around how your business actually works.

  • Governance rules — deciding who can share externally, who can create sites, and how retention is managed.

  • User training — helping staff understand new ways of working so adoption is smooth.

  • Migration planning — deciding what should move, what should be archived, and what can be left behind.

Similar to moving office: if you just shove everything into boxes and dump it in the new building, you’ll never be organised.

The Bottom Line

SharePoint gives your business better security, better collaboration, better remote access with lower risks and fewer hardware costs.  But the real magic comes from implementing it strategically, not just technically.

With the right structure, SharePoint becomes the backbone of a modern, resilient, efficient business. Without that structure, it’s just a new way to store old clutter.
